Introducing the new Calendly

Calendly is going beyond scheduling to handle all of the work before, during, and after meetings.

Today is a big day for Calendly. We're launching Calendly Notetaker and Callie, an AI assistant: two new AI products built to handle the work before, during, and after meetings.

But before I get into the details, I want to tell you how we got here.

When I started Calendly in 2013, it was out of personal frustration. I worked in sales and found myself spending far too much time manually scheduling meetings.

So we built a product that turned that tedious back-and-forth into an easy, professional experience. It started with a simple booking link and has grown into a scheduling platform with automations and integrations for every type of meeting, serving over 50 million users.

Over the course of more than a decade, we got to know our customers and how they work. And we began to see a deeper truth:

Scheduling is just the beginning.

Over time, all of the other work around meetings — preparing, taking notes, following up, invoicing — takes over more and more of the day. Customers have told us, “I need help taking that busywork off my plate so I have time to focus on my actual work.”

So instead of just asking, “how do we make scheduling easier?,” we started asking: 

“How can we take the work out of everything else surrounding meetings?”

Today, I'm proud to introduce a new era for Calendly. One that goes beyond scheduling to handle the work around meetings — and, over time, to do that work for you — so you can focus on the things only you can do.

Built for people whose work runs on meetings

We’re reimagining meetings for the AI era: smarter, more connected, and built to help people move faster without losing the human connection that moves work forward.

Here’s what that looks like in action:

  • No more manual admin work like booking meetings, collecting payments, taking notes, or sending follow-ups. Calendly handles it all. 
  • No more feeling unprepared for what’s next. Get the full picture fast and never go into a meeting cold.
  • No more disconnected meeting tools. Calendly combines everything in one platform.

Today, we’re introducing two AI products that help bring this vision to life:

Notetaker, an AI notetaker that captures meeting notes, recaps, and next steps.

And Callie, an AI assistant that handles work before and after meetings. 

These products are available on our new Standard Plus and Teams Plus plans. (Beta access to Callie during free trials may vary.) Together, Notetaker and Callie create one connected experience before, during, and after every meeting. Let’s walk through it.

Before the meeting: Make scheduling and meeting prep easy with Callie

AI assistant Callie handles scheduling for you right from your inbox, so you can book one-on-one meetings via email without having to manage booking links, change your setup, or switch tools. 

Here’s how it works:

  1. Add callie@calendly.com to an email thread and say what you need. (“Callie, can you find time for Dave and I to meet next week?”)
  2. Callie uses context from the email conversation, plus your availability and preferences, to respond with a shortlist of times. If everyone on the thread uses Calendly, Callie shows mutual availability.
  3. Once everyone agrees on a time, Callie books the meeting for you.

It’s that simple. Instead of choosing between different scheduling links, you only need to remember one email address: callie@calendly.com. Callie understands context, remembers your preferences, checks with you before making one-off updates, and always keeps you in control — just like a great personal assistant.

In Calendly, Callie is just a click away via an interactive chat, ready to help with more pre- and post-meeting tasks. Instead of digging through notes to prepare for your next meeting, open Ask Callie and say, “Help me prep for my call with Dave.” Callie looks at your schedule, attendees’ contact profiles, meeting history, and past meeting notes to serve up all the context you need, so you never go into a meeting cold.

Callie is available on paid Standard Plus and Teams Plus plans for English-language users. Beta availability during free trials may vary.

During the meeting: Stay present with Notetaker

To make the most of every meeting, you need to keep track of discussion topics, decisions, and action items. And none of that is possible if you don’t take good notes during the meeting itself.

With Calendly Notetaker, you don’t have to choose between manually taking notes and staying focused. Notetaker automatically records and transcribes the meeting, so you can give the conversation your undivided attention.

And because we believe AI should work where you work, you can use Notetaker across all your Zoom, Google Meet, and Microsoft Teams meetings — including ones that weren’t scheduled with Calendly.

Notetaker is also available on Standard Plus and Teams Plus plans for English-language users.

After the meeting: Keep work moving with Notetaker + Callie

Manually handling action items, updating records, and sending follow-ups can add up fast. Notetaker and Callie tackle these post-meeting tasks for you, so you don’t lose the rest of your day to admin work.

After the meeting ends, Notetaker provides a recap with a summary, key points, and action items — including a pre-drafted follow-up email to share with attendees. Nothing falls through the cracks, and you follow up faster without the manual busywork. 

If you need to remember a specific detail, you can ask Callie questions about prior meetings, like “what was the final decision on pricing in my call with Dave?” Callie instantly pulls answers from Notetaker recaps, so you don’t have to dig through your notes.

Callie uses all of the context in Calendly — recaps from Notetaker, your meeting history, past interactions, and contact details — to help with meeting tasks, answer questions, and move work forward.

No matter what’s on your meeting to-do list, Calendly helps you get it done faster and with fewer tools, so your whole day feels easier.

What’s next for Calendly?

Today, Calendly helps take the work around meetings off your plate. Where we're headed is bigger: Calendly won't just help you do that work. It’ll do it for you.

Here's how we can do that:

Calendly sits at two moments no other tool holds together:

  1. The moment a meeting is scheduled
  2. Through Notetaker, what was actually said in the meeting

That context builds on its own, with no data entry. The more you use Calendly, the better it understands how you work, and the more it can do on your behalf.

So Callie will go from answering questions and drafting tasks to surfacing the right next step at every moment around a meeting, and handling the tasks you trust it to complete on its own. Meeting prep, ready before every call. Follow-ups, written in your voice. The contacts who go quiet, nudged before they slip away. The moves you repeat after every meeting, turned into routines that simply happen.

You stay in control of all of it. You decide what Callie does for you.

And because your work doesn't only happen in Calendly, Callie's actions will meet you in the tools you already use, so the work gets done wherever you are.
