How to sync Calendly links to Salesforce

Calendly automatically syncs both profile and managed event links to Salesforce. This makes it easy to use Calendly links in Salesforce automations and email templates with merge fields.

How it works

Calendly creates a new CalendlyLink record in Salesforce each time a user shares a link. During the next hourly sync, Calendly updates the record if anything changes.

When a profile link is added or updated, it triggers the MapCalendlyLinkTemplate flow. This flow looks for a matching user in Salesforce using their email address. If it finds one, it adds the link to the Calendly Link field on their record.

You can also customize this flow to sync managed event links.

Before you begin

  1. Open your Salesforce Flows list.
  2. Find and select the MapUserCalendlyLinkTemplate flow.
  3. In the top right, select Save As.
  4. Add a Flow Label name.
  5. Select Save.
  6. Return to your Flows list and open the saved copy.
  7. Select Activate in the top right.

Trigger the sync

  1. Visit your Salesforce integrations page.
  2. Select the Sync button to start syncing with the new flow.

Sync frequency

Calendly syncs links for all users:

  • Hourly, or
  • Manually, when an admin selects Sync.
